Resolving Visibility Issues for Meeting Rooms Hidden in the Microsoft Exchange Admin Center in XMS Cloud Calendar

Meeting rooms configured in the Microsoft Exchange Admin Center (EAC) and marked as Hidden from Global Address List (GAL) are not visible in the XMS Cloud calendar interface. This occurs because rooms that are hidden from GAL are not discoverable by the Barco XMS platform, even if they are created or updated correctly.

Steps to resolve

To resolve this issue, ensure that the meeting rooms are not hidden from the GAL in Microsoft Exchange. Follow these steps:

  1. Open Microsoft Exchange Admin Center.

  2. Go to Recipients > Resources.

  3. Select the affected meeting room.

  4. Under General settings, ensure that the Hide from global address lists option is not checked.

     

    If it is, uncheck it.

     

  5. Save changes and wait for synchronization (at least 48 hours).

  6. Once updated, return to the XMS Cloud interface and click Rediscover Rooms to refresh the calendar integration.
